How ePrep Global — a New Delhi institute preparing GMAT, GRE and IELTS candidates — moved from spreadsheet fee-tracking and weekly timetable improvisation to six interoperable, AI-assisted systems.

The headcount figure is the founder's own estimate of the administrative load now absorbed by automation and AI agents — work that would otherwise have required hiring. It is not an independently audited metric, and no roles were eliminated.

The ceiling was operational, not academic

By her own account, the founder was spending an uncomfortable share of her week not on teaching or strategy, but on firefighting. There was no single catastrophic failure — instead, in her words, “a thousand tiny frictions”:

Discovery before deployment

The engagement did not open with a product pitch. It opened with mapping: walking the student journey from first enquiry to course completion, documenting every recurring workflow — admissions, fees, batches, timetables, teacher allocation, content delivery, support — and identifying where time and accuracy were being lost, rather than digitising existing habits unchanged.

A unified intake and routing layer. Questions reach the right teacher or staff member, with multiple teachers able to collaborate without losing context.

Assistants handle reminders, routine follow-ups and status checks. Dashboards show what is on track and what needs attention.

Staged rollout, deliberately

Implementation began where the friction hurt most — fees and scheduling — so the team felt early wins. Once stable, student-facing automations followed: content delivery, reminders, query management. AI in internal office workflows was deepened only after those were running smoothly. The design was adjusted against real-world usage at each stage rather than held fixed.

What changed

In the founder's framing, the work did not disappear — its character changed:

  • Founder time redirected from chasing overdue tasks to teaching, curriculum and new initiatives.
  • Cash flow more organised, with payments and reminders handled consistently by the system.
  • The office runs on systems and dashboards rather than sticky notes and memory.
